Registration Requests
In general, the School of Nursing follows all university-wide policies regarding student registration. There are, however, a few nursing-specific procedures that students should be aware of.
Procedure: Requesting Over-Enrollment for Lecture Courses
Any over-enrollment to lecture-based courses will apply directly to the waitlist, as per university policy. If the student making the request is not first on the waitlist, the request would need to include a sufficient number of positions for the student to be included.To seek an over-enrollment to a lecture-based course, the student must:- Add him/herself to the waitlist if they have not already done so.
- If the student is enrolled in another section of the same course, the “swap” feature must be used to join the waitlist or the over-enrollment will not process correctly.
- Request and receive written approval (email is acceptable) from the instructor.
- The approval must be for the appropriate number of positions if the student is not first on the waitlist.
- If no instructor is listed in Campus Connect, proceed to next step.
- After receiving approval from the instructor, request and receive written approval (email is acceptable) from the program director.
- Submit the over-enrollment request, along with approvals from the instructor and program director, to the Student Services Administrative Assistant, or to nursing@depaul.edu.
- The enrollment capacity of the course will be raised (by the exact number approved). The waitlist will be triggered during the next cycle and will process enrollment by position.
Procedure: Requesting Override of Clinical Registration Hold OR Over-Enrollment for Clinical and/or Lab-based Courses (applies to MENP program only)
Administrative overrides of the clinical registration hold OR to a clinical/lab enrollment cap can only be applied if all of the following three conditions are met.- The total enrollment must not exceed the maximum outlined by the state board of nursing, our accreditors, and/or the clinical affiliate (in general, or specifically for the unit). Requests which would excelled the maximum enrollment will be rejected. There are no exceptions.
- The request must be submitted with enough time to properly onboard the student. Requests that would negatively affect the student’s ability to succeed will not be approved. Appropriate deadlines will be based on the clinical site and will be determined by administration on a case by case basis. The following may serve as general guidelines for students:
- Requests made 30 days or more before the start of the quarter are generally acceptable, except in rare circumstances.
- Requests made less than 30 days before the start of the quarter will be reviewed by the Student Services Administrative Assistant and the Coordinator of Data Management in consultation with the clinical education staff at the requested clinical site. All parties must agree that the student could be onboarded with minimal disruption to their academic success.
- The request must fall under one of the following categories:
- The student has a documented need with the Center for Students with Disabilities that stipulates clinical accommodations.
- An academic scheduling conflict is unavoidable (the currently open classes/sections block the student’s ability to register for the other classes in his/her progression). Conflicts with non-academic activities cannot be considered.
- Unavoidable late changes to a clinical section are determined by administration to have severely impacted the student.
- A confirmed technical error attributable to DePaul University is determined by administration to have affected the student’s registration.
- A medical emergency has occurred which is determined by administration to have affected the student’s registration.
OR- The student has received special dispensation from the program director. Special dispensation can be requested for any reason, but approval will be based on an assessment of the need. The program director may choose to consult with the Coordinator of Clinical Placements, the Student Services Administrative Assistant, and/or the Coordinator of Data Management to make the determination. Note that special dispensation does not override the first two conditions listed above, but only satisfies condition three when granted.
To seek an over-enrollment to a clinical or lab-based course, the student must:- Submit a written request to the Student Services Administrative Assistant, or to nursing@depaul.edu, with the course, section, and reason clearly identified.
- If the reason does not fall under one of the explicitly approved categories in condition three, the request will be returned to the student who may choose to seek special dispensation from the program director.
- If the request meets all three conditions listed above, then the enrollment change will be submitted to the College of Science and Health Office of Graduate Advising for processing. The student will be notified upon completion of the registration change. The student need not take any further action.
Procedure: Requesting Cross-Enrollment
A cross-enrollment is defined as a student in one program of study registering for a course specifically reserved for students in a different program of study.Approval for cross-enrollment must be obtained from the course instructor as well as both program directors (i.e. the student’s program director and the director of the program for which the course is being offered).To seek a cross-enrollment, the student must:- Request and receive written approval (email is acceptable) from the course instructor and both program directors.
- Submit the cross-enrollment request, along with approvals from the instructor and program director, to the Student Services Administrative Assistant, or to nursing@depaul.edu.
- A student-specific permission will be added to Campus Connect. Once added, the student will be notified that they are then eligible to register for the course as they normally would.
- If the course is filled to capacity, the student would need to join the waitlist and request an over-enrollment according to that procedure.
